File Summary

This section allows you  to view batch payment summaries of all accessible Payment Services and Service Groups (based on privileges) for any received originating payment files and to Approve, Submit, Delete, Disable and Enable pending payments in one or more received payment files.

File Summary page

The ‘Integrated Payments File Summary’ is a way to simultaneously view multiple files and batches that have been sent to the Bank. Rather than viewing payments by Service Group and Status using the Pending Payments page, this view allows payments to be viewed by Batch and File, regardless of status or Service Group. Managing information at this level allows for accurate and efficient decision-making and confirms the status of files and batches delivered to the Bank for processing.

Each file is clearly separated from other files to display the total number of payments included. The underlying Batches within the files can be viewed by clicking on the triangle icon in the File ID column. This will display all the batches contained in the file.

Actions on this Page

Users have the following options available on this page:

  • Search: you can filter search results by Service Group, File ID or File Date.
  • Reset: to clear the search criteria, click on the Reset button.
  • View File details: by clicking the links in the File ID column you can view the details of the files.
  • View Batch details: by clicking the links in the Pending, Complete or Total columns you can view the details of the batches.
  • Manage Batch File or Payment Files:  select the appropriate checkbox(es) located beside the Batch or File you want to action and then choose an action (Approve, Delete, Disable, Enable or Submit) from the drop down list at the bottom right of the page. An entire file can be processed this way, as well as selected batches from within a file.

Steps to Follow

  1. After setting your search filters and clicking on the ”Search” button the Search Results will be display at the lower portion of the page, sorted by Current Date (default) or the criteria that you specified.
  2. By clicking on a number in the File ID, Pending, Complete or Total columns of a received file or batch you can access the list of payments of that type in that file/batch and action them or click on the “Cancel” button to return.
  3. From the ‘File Summary’ page you can apply a desired action to the selected pending payments/advices. Action an individual payment/advice from the payment details page by clicking on the “Select Action” box located on the bottom right of the page and then clicking the “Go” button.
  4. The following actions can be applied to the selected payments/advices from this page. The availability of these actions depends on your access privileges.
  • Approve - all pending payments, that have Entered, Approved 1 or Approved 2 status, in the selected Service Group(s) / Payment Service(s) will receive your approval.
  • Submit - all pending payments with Ready status in the selected Service Group(s) / Payment Service(s) will be submitted for processing.
  • Delete - all pending payments in the selected Service Group(s) / Payment Service(s) will be deleted.
  • Disable - all pending payments, that have Entered, Approved 1, Approved 2 or Ready status, in the selected Service Group(s) / Payment Service(s) will be assigned a Disabled status, i.e. prevented for any further action until they are enabled.
  • Enable - all pending payments, that have Disabled status, in the selected Service Group(s) / Payment Service(s) will be enabled. i.e. will be re-assigned the status that they had prior to having been disabled (Entered, Approved 1, Approved 2 or Ready).
  • Modify Date - all pending payments (except Wire Payments) with Entered, Approval 1, Approval 2, Ready, Failed (due to due date) status will be modified with a new due date.
  • Once you have chosen the desired action for the selected payments/advices, click on the “Go” button to execute the action.

Definition of Column Headers

  • File ID: the unique file name given by the Bank to the incoming file.
  • File Date: date that file was received by Scotiabank.
  • Pending: total number of pending payments within the file.
  • Complete: total number of payments within the file that have been settled.
  • Total: the sum of the pending and complete payments within the file.
  • Total RA Attached: dollar amount of Remittance Advices for payments within the file. Note: this may not be applicable for all Payment Types.
  • Total Payable Amount: dollar value of all Payables within the file. Note: For Wire Payments, this total amount is prior to currency calculations.
  • Total Receivables Amount: dollar value of all Receivables within the file.  Note: this is not applicable to Wire Payments.
  • Status: the current status of the file.
    • Accepted: the file has passed initial validation and available for user action.
    • Rejected: the file has failed initial validation and cannot be actioned by a user.
    • In Progress: the file is in the process of being uploaded to ScotiaConnect.
  • Batch ID: the ID given to each batch of payments within the file.
  • Service Group: the name of the Service Group to which the batch belongs.
  • Payment Type: The payment types within the batch (example: EFT, Wire, ACH or EDI).

Note: if Wire Payments are included in any of the files or batches the total Payables amount will reflect the Wire Payment amount prior to currency calculations.
