Create Payments From Template

This section allows you to create payments from templates and search existing templates to view, modify, copy, approve, delete and/or activate/deactivate payments.

How to create payments from templates

  1. From the Payments menu, go to Integrated Payments, then to Create from Templates.
  2. Search for the template you need to use. You can narrow your search results by using any of the following parameters:
    • Payment Type (All Payment Types, ACH, EFT, EDI, Wire)
    • Account
    • Template ID
    • Vendor Number
    • Recipient Name
    • Recipient ID
    • Template Status (All Statuses, Ready, Pending Approval, Inactive, On Hold, Repair)
    • Service Group
    • Payment/Cross Reference Number
    • Import File Name
    • Date Last Used (Current Day, Prior Day, Current Week, Last Week, Last Month, Date Range)
  3. You can also choose to sort your search results in ascending or descending order based on the following parameters:

    • Template ID
    • Status
    • Service Group
    • Recipient
    • Vendor Number
    • Account
    • Payment Type
    • Date Last Used

  4. Click Search to view the Search Results table or click Reset to clear all of your search, filter, and/or sorting parameters.
  5. From the Search Results table, click on the checkboxes next to the templates you would like to create payments from
  6. Click the Create Payments button.
  7. On the Create Payments from Templates screen, enter information into the required fields.
    • Due/Value Date can be shared across all selected payments or set differently for individual payments. To set a shared Due/Value Date for all selected payments, choose a date from the top of the table and click the Apply Date to Selected Payments button. To set different dates for individual payments, click the calendar icon on each individual payment.
    • Amount can be entered in $9,999.99; 9,999.99; or 9999.99 formats.
    • Exchange Rate, where applicable, can be either “Automated” or “Pre-booked”.
    • Payment Number, where applicable, can be entered if you do not have a Unique Payment Number selected in your Service Group.
    • Click the Continue button to review and confirm your payment. You can also click Cancel to exit the payment without saving your input or click Reset to reset all fields to their default values.
  8. Review and confirm your payments. NOTE: If any payments were cross currency, you may be asked to enter your pre-booked exchange rate and reference number.
  9. Click Save to continue or Cancel to return to the previous screen.

Template status information

Templates can be in the following statuses:

  • Ready: Template is approved and ready for use.
  • Pending Approval (includes templates with Entered status): Template has been created or modified and requires approval.
  • Failed: Template has failed due to incorrect bank information.
  • Disabled: Template has been deactivated.
  • On Hold: Template with modified bank information requires acceptance or rejection.
  • Repair: Templates with PO Box variations are waiting to be fixed. To identify affected templates in Repair status, click the Pending templates with repairs link under the Action Items located at the top right side of the page.

Rules for template status:

  • Only Pending Approval templates can be approved.
  • Only Pending Approval or Ready templates can be deactivated.
  • Disabled templates can only be activated.
  • Deleted templates are not available for any action and are displayed until the next scheduled purge run.
